Faculty Guide for Submitting Materials for Course Reserve

Placing Materials on Electronic Course Reserve

Electronic Course Reserve (ECR) makes reserve materials accessible any time from computers with Internet access. Faculty may submit materials to be added to the ECR system by following these guidelines:

PLEASE NOTE: Items should be identified for ECR in the same manner as on your syllabus. Students should know specifically what to ask or search for.

  • Submitting text documents in electronic format:
    Material sent in electronic format requires minimal processing and therefore may be available to your students in a relatively short period of time.
    • How to submit:
      • Email them to j.cornelius@csuohio.edu. Make sure to include the following information in your email:
        • Course number
        • Semester
        • Department
        • Number of students
      • Submit them on floppy or zip disk, CD-ROM, or jump drive to the Digital Production Unit in RT 807. Make sure to include a completed ECR Request Form with your submission
    • Recommended formats:

      • Microsoft Word
      • Microsoft PowerPoint
      • Microsoft Excel
  • Submitting hardcopy for scanning:
    Hardcopy documents which need to be scanned will be placed on ECR on a first-come, first-served basis. Please allow sufficient lead time for processing, particularly at the beginning of the semester when our work load is heaviest.
    • How to Submit
      • If it's a document, journal article or book chapter you own:
        • Bring it to the Digital Production Unit in RT 807 or send it through campus mail.
        • Make sure you have completed an ECR Request Form for printed materials accompanying each request.
        • Be aware that scanned documents can create large files which may cause downloading and printing problems for your students. You can help us to reduce file sizes and processing time by adhering to the following format requirements:
          • Clean, first generation copies of material in the best obtainable condition.
          • Author and title clearly marked; professor, course and full citation written on first page
          • Whenever possible, documents should be broken down into short segments. Documents may be broken down by weekly class readings or assignments, individual articles and chapters, single exams, etc. Please try to not exceed twenty pages
      • If it's a journal article or chapter from a book owned by the Library or from other sources:
        • Complete an ECR Request Form for printed materials and bring it to Joanne Cornelius in RT 807 or send it through campus mail.
          OR
        • Fill out and submit our Online ECR Article/Book Chapter form
        • Please note: Items held by Cleveland State Library will be available in 2-5 working days. Items from other sources may take longer. You will be notified by phone or e-mail if there is a problem with your request or when your material is available for students.
  • Submitting Audio Recordings:
    • If the track you want to place on ECR is from a CD, Cassette, or LP that you own
      • Bring it to the Digital Production Unit in RT 807 or send it through campus mail.
      • Make sure to include a completed Audio ECR Request Form with your submission.
    • If the track you want to place on ECR is from a CD, Cassette, or LP owned by the Library or from other sources:
      • Complete an Audio ECR Request Form and bring it to the Digital Production Unit in RT 807 or send it through campus mail.
        OR
      • Fill out and submit our Online Audio ECR Request Form
      • Please note: Items held by Cleveland State Library will be available in 2-5 working days. Items from other sources may take longer. You will be notified by phone or e-mail if there is a problem with your request or when your material is available for students.
  • Access to your ECR materials will be removed at the end of each quarter. Please notify us when you wish to place the same material on ECR for a later quarter.

Placing Materials on Regular Course Reserve

Faculty may place library or personal materials on reserve for use by their classes. Books are kept at the User Services Center on the first floor. Selected materials for music classes and most multimedia items are located at the Multimedia Services Desk on the third floor (RT 301).

The faculty member may choose how long the reserve material may be used. Some items circulate for two hours and may not be taken out of the Library. Others may circulate for one, three or seven days.

Requests to place multimedia items on reserve should be made at the Multimedia Services Desk.

Requests to place books and journal articles on Course Reserve should be submitted to the Digital Processing Unit in RT 807 and should follow these guidlines:

While the provisions of fair use apply, the person using the system is liable for any infringement of copyright violation.
